This role operates within a matrix structure, requiring alignment with Fleet Leadership (including Supervisors and Managers) for daily tasks, and acts as an advisory and execution resource rather than the final authority.

*The position is fully remote and requires up to 60% travel as directed by leadership.

Primary Responsibilities:

Routing & Fleet Coordination

  • Provide routing input: Advise leadership on driver assignments and routing decisions, review active routes, and offer guidance as needed.
  • Manage MMC routes: Oversee Mobile Medical Clinic (MMC) routes and support necessary route planning adjustments.
  • Coordinate maintenance schedules: Partner with the Maintenance FLC Admin to ensure scheduled maintenance is accurately reflected in routing.
  • Manage logistical anomalies: Coordinate special events requiring transportation assistance, conduct biomed inspections involving transport support, and track holidays that affect travel and routing.
  • Assist with travel: Help coordinate travel arrangements and general logistics for operations.

Compliance & Safety Monitoring

  • Monitor hours and logs: Review Electronic Logging Devices (ELDs), drive times, and routing activity to ensure strict compliance with Department of Transportation (DOT) regulations.
  • Escalate compliance issues: Raise immediate concerns regarding Hours of Service (HOS) and route compliance to leadership.
  • Conduct monthly safety verifications: Verify and document fire extinguishers, Automated External Defibrillators (AEDs) via SafetyMax, MMC-specific safety equipment, MMC-specific electronics, and DOT/Leidos documentation.
  • Report safety metrics: Submit monthly AED verification completions to the Fleet Supervisor, Manager, and Biomed team.
  • Perform signage reviews: Support quarterly reviews of signage across all MMC units.

Administrative, Data, & Financial Support

  • Track financial records: Monitor and complete unmatched fuel reports for JJ Keller, track outstanding Purchase Orders (POs) and Blanket Purchase Orders (BPOs), and assist with PO creation.
  • Maintain documentation: Generate and update spreadsheets to maintain trackable, reportable information, and pull database reports as requested by leadership.
  • Audit and verify data: Verify that the MCO Console is active and up to date, report discrepancies, and calculate monthly mileage reports for individual MMCs and total fleet mileage.
  • Assist leadership in auditing: Help leadership audit completed work, verify data accuracy, and report findings for final review.

Communication, Collaboration, & Training

  • Facilitate meetings: Lead weekly driver meetings and actively participate in mandatory routing meetings, weather and safety calls, and department meetings (Mondays and Fridays).
  • Provide operational handoffs: Deliver detailed pass-down reports on Mondays following weekend coverage.
  • Support driver relations: Address drivers' daily issues and concerns, escalating active problems to leadership as appropriate.
  • Liaise with security: Coordinate with Corporate Security on route concerns and immediately escalate active security issues.
  • Support team onboarding: Assist with the training and onboarding of new hires (excluding maintenance reporting).
  • Vendor management: Work directly with external vendors, including maintenance providers, as required.

Key Performance Expectations:

  • Communication Flow: All routing decisions, compliance concerns, and operational issues must be communicated through leadership for review, direction, and final decision-making.
  • Timely Escalation: Information, reports, and findings must be escalated swiftly to maintain operational alignment and consistency.
  • Process Adherence: Task execution must strictly follow established processes, leadership guidance, and designated operational priorities.
  • Authority Limits: This role supports fleet operations and does not function as the final authority on routing, compliance, or operational decisions.
  • Adaptability: Perform other duties and travel up to 60% as assigned by leadership to support evolving business and operational needs.

Required Qualifications:

  • Level II: HS Diploma with 1-3 years of relevant experience
  • Level III: HS Diploma with 3-5 years of relevant experience
